WEEK# 39, 23 – 29 September 2019
In this issue:
(i) Invitation: AIT 60th Anniversary Celebrations, 23 - 25 October 2019
Email from AIT President (19 Sept. 2019)
Dear AIT Faculty and Staff Members,
On October 23, 24 and 25, 2019, there will be a series of activities in Bangkok and on campus to celebrate the 60th Anniversary of the Asian Institute of Technology (AIT). Distinguished university guests and AIT alumni from Thailand and overseas will join in the festivities. We also cordially invite AIT faculty, staff and students to come celebrate with us!
Since its founding in 1959, AIT has dedicated itself to capacity building and social impact research and education, benefiting Asia and beyond. On its 60th Anniversary, AIT is moving smartly forward with the motto of “Transforming AIT”, injecting more innovation, globalization, relevance, and entrepreneurship into our original mission.
Please note that attendance to the 24 October 2019 events is limited, and will be based on receipt of online confirmations at: https://forms.gle/YiUgq1dduDFmYQD19
Please note that the Gala dinner cost is 1000 Baht per person, but all other events are free.
I would like to encourage all of you to come and mingle with guests at the AIT Open House on campus on the morning of 25 October 2019, which will be followed by a buffet lunch.
We look forward to your participation in these events.
Yours truly,
Dr. Eden Woon

(ii) A Better Working Environment
Email from AIT President (16 Sept. 2019)
Dear members of the AIT family,
I am committed to creating an environment at AIT that enables us to take the Institute to a higher level. To do so, it is essential that we foster a positive and team attitude.
But there will be instances where a person may feel that an unsatisfactory situation has developed at AIT which requires addressing, and thus wish to lodge a complaint or express a grievance. For these, AIT already has policies and procedures for addressing grievances, such as sexual harassment, bullying, invasion of privacy and discrimination, among others (PA 2-1-2) and on disciplinary action (PA 1-3-3, X; PA 1-1-1, IX). Procedures for handling the grievances of students are set out in the Student Handbook.
In short,
1. All complaints from within a unit must be addressed through the chain of command within the unit.
2. Complaints about other units/persons must be addressed by the complainant, through his/her supervisor, to the supervisor (or next chain of command) of the other unit.
3. For students, complaints must be addressed through the relevant chain of command: academic advisors; Department Heads; Dean; Director of the Office of Student Affairs.
However, if after following these established procedures, it is felt that the complaint or grievance cannot be resolved through these channels and it is of a serious nature, it should be drawn to the attention of the AIT Administration. Should the matter reach this point, here is the system for complaint or grievance:
Step 1 — Make a report and send it, using your AIT email address, to report@ait.ac.th. Any complaint or grievance reported in this way will be addressed seriously, and in utmost confidence. No anonymous complaints will be accepted.
Step 2 — The Director of the Office of Academic Administration (OAA), Ms Izel Ann Dante, has been entrusted by me to make an initial assessment of all complaints and grievances (including, but not limited to, cases of unethical behavior and misconduct) and to determine whether there is a case. She will do this by first ascertaining all facts material to the complaint. This may involve speaking confidentially to the complainant. She will also review the relevant Institute Policies and Procedures.
Step 3 — Based on her assessment, she will submit a confidential report to me, recommending either that there is a case, or that no further action is required. I will then decide the actions that the Institute needs to take.
I would like all of us to focus on the challenges facing AIT. But to do so requires that we address legitimate concerns about the governance of the Institute. Before making a complaint, you should be confident of its legitimacy and seriousness. And if you are confident of that, we will take your concern seriously. This system described above will provide an equitable and confidential channel for students, faculty and staff to put forward their grievances and complaints. The administration will do its utmost to try to reach a fair resolution.
Let’s all strive to have a better working environment at AIT!
Thank you!
Dr Eden Woon

(iii) 60th Anniversary Celebrations Appeal: AIT Campus Visits by VIP's, Guests, and Alumni
Email from Vice President for Administration (17 Sept. 2019)
Dear Colleagues, Students, and Residents
In the week of 21 October 2019, which is just around five weeks away, AIT will be hosting many distinguished dignitaries at our wonderful AIT campus. Like many of us, we are sure everyone would like to be proud of our beautiful campus; and will look forward to being welcoming hosts to our guests.
To this end, OFAM and various other support services teams will be spending these next five weeks sprucing up our campus; and we wanted to request everyone's kind help in assisting us too. It is amazing how true it is that "many hands make light work".
In recent walks around the whole campus, and particularly the accommodation units, it has been noticed that we could improve the look of the common areas of the campus by; picking up our old and broken personal and other items, storing our bicycles in bicycle racks, tidying up the external corridors in our buildings and outside our dormitories, residential houses & apartments, sprucing up our balconies, as well as keeping the areas surrounding our accommodation buildings clean and tidy.
Thank you for caring and taking extra pride in presenting the AIT Campus in the most favorable manner to our many expected visitors.
With grateful appreciation.
Mr. Russell B. Rein
Vice President for Administration, AIT

(v) AIT Reforms & Global Best Practices: Appeal for Buddy System Volunteers
Email from Vice President for Administration (23 Sept. 2019)
Dear AIT Family
As we transform AIT into a leading regional Institution, we are regularly reforming support services systems and initiatives that follow global best practices.
One of these initiatives is the introduction of a Buddy System. Although this may be new to many of us, research shows that the initial stages of onboarding are crucial to the long-term contribution of employees to their new home of employment. Through our Buddy System, we aim to highlight AIT as a welcoming, caring, and professional workplace. A place we are all proud of and whose reputation makes us a desirable employer.
Our Buddy System is a process where new employees are guided through the workplace to familiarize themselves with their new surroundings. It is designed to make the new employee feel welcomed, and it facilitates a smooth transition into AIT, helping the new employee to fit in more quickly.
Everyone can take part in this initiative by volunteering to be a Buddy. We need volunteers from both faculty and staff to be a part of our 'Buddy Team'. OHRS will maintain the list of Buddy's and forward your name to the School/Unit where a new employee will start working. Once a Buddy has been agreed, you will be provided all the details needed to start your role as a Buddy. Please find attached a summary of the Buddy System for your kind reference.
If you would like to be part of our 'Buddy Team', please register through this Google Form.
Thank you in kind anticipation for considering to volunteer for our Buddy System. We value your support and contribution and know that this initiative will make AIT an even more welcoming home to new employees.
With grateful appreciation
Mr. Russell B. Rein
Vice President for Administration, AIT
